The Admissions Supervisor will report to the Head of Admissions and will manage a team of 2 Education Services Administrators (ESAs). Their responsibilities will include coordinating, engaging, and motivating the team to ensure successful completion of University undergraduate and postgraduate admissions cycles, and to lead on developing and implementing College outreach and engagement initiatives.
- Line manage and motivate a team of ESAs, ensuring their engagement and professional development align with individual needs and aspirations.
- Supervise and oversee key tasks and processes throughout all annual admissions cycles, including workload planning for the team of administrators.
- Ensure that accurate records are maintained during each admissions cycle and compile and report on historical admissions data when required.
- Liaise with the University’s International Student Office to ensure the timely and successful completion of the Confirmation of Acceptance for Studies (CAS) issuance process to ensure immigration compliance.
- Collaborate independently with various College teams and spearhead small-scale operational projects, including resource planning and delivery.
- Regularly review procedures to ensure compliance with relevant College policies, University regulations and national legislative frameworks.
- Be the primary point of escalation for ESA queries within the Admissions team, directing them to appropriate resources or individuals as needed.
- Support departmental activities year-round, including all Foundation Year, undergraduate and postgraduate application cycles, student in-reach activities and provide support for Directors of Studies and others involved in admissions initiatives.
- Planning and delivery of outreach and recruitment activity online and in-person, including evaluation of effectiveness.
- Ensure the admissions section of the College website is kept up to date and produce communication materials for the admissions team in keeping with the values and ethos of the College.
- Contribute to the development of social media campaigns in conjunction with the Communications Team.
- Attend admissions and outreach-related meetings across the College and Intercollegiate University as appropriate, including liaising with Admissions and Outreach teams and administrators in other colleges
- Manage records of outreach activity and its outcomes, including entering data into the Higher Education Access Tracker (HEAT) database, and ensuring that confidentiality of information is maintained in line with data protection requirements.
- Assist senior colleagues in coordinating team resources for large-scale operational projects.
- Implement continuous process improvement initiatives as directed by the Tutorial management team or external audits, updating documentation, policies, and procedures accordingly.
Responsibilities of the role may change as we further develop the work of the Tutorial Department in response to operational or applicant/student needs.

Person Specification
Experience
- Demonstrated experience in supervising and motivating teams, ideally within educational or administrative environments, or the evident desire and potential to excel in such a role.
- Demonstrated experience in working with stakeholders in the secondary and further education sector.
- Expert familiarity with the Cambridge admissions cycles, or the ability to learn, including an awareness of qualification matrices and interview processes.
- Experience in the design and delivery of student outreach and engagement initiatives is highly desirable.
- Experience of interpreting and applying admissions policies and regulations is desirable.
- Experience in workload planning and resource coordination is highly desirable.
- Proven ability to collaborate effectively with cross-functional teams and external partners to achieve common goals.
- Demonstrated ability to independently identify issues, propose solutions and implement improvements. Experience in process improvement initiatives is preferred.
- Capacity to adapt to changing priorities and work effectively in a dynamic environment.
- Ability to respond to unforeseen challenges and prioritise tasks accordingly.

Skills and knowledge
- Knowledge of the admissions policies and processes at Cambridge is desirable.
- Excellent organisation and planning skills, being able to identify gaps in the operational flow and escalate them accordingly.
- Strong time-management with the capacity to oversee multiple tasks and projects simultaneously.
- Knowledge of MS Office is essential. Knowledge of internal Cambridge database systems, including CamSIS and the SMI is highly desirable.
- Excellent verbal and written communication skills, with the ability to communicate effectively with diverse stakeholders including staff, students, and external partners.
- Attention to detail and accuracy in reviewing procedures, documentation and policies to ensure compliance with regulatory requirements and organisational objectives.
- A collaborative attitude with a commitment to fostering teamwork and supporting colleagues across departments.
- Showcased emotional intelligence abilities.
- An empathetic approach when engaging with both students and staff.
- Understanding of health and safety policies and procedures, with a commitment to ensuring the well-being and safety of staff and students.

Qualifications
- A 2.1 in a bachelor’s degree in any subject is essential. Relevant professional experience in either the secondary or further education sector, and higher education administration is desirable.
